This notice explains how Synergy Seeds Zambia Limited collects, uses, and protects your personal information when you apply for a role with us through our Careers page.
Who we are
Synergy Seeds Zambia Limited, based at Plot 5255, Mukwa Road, Heavy Industrial Area, Lusaka, is the data controller responsible for the information you submit when you apply for a role with us.
What information we collect
Your full name, email address, phone number if you choose to give one, your location, the role you are applying for, and your CV. We do not ask you for sensitive categories of information such as health, religion, or political opinion, and you should not include these in your CV or application.
Why we collect it
To review your application, contact you about the role, assess whether your experience matches what we are looking for, and, only if you give separate consent for it, consider you for future roles.
Our legal basis for processing it
We process your application in order to take steps you have requested prior to entering into a contract of employment, and on the basis of the consent you give when you submit the form. Where you tick the box asking us to keep your CV on file for future roles, that specific, separate consent is our legal basis for keeping it beyond the role you applied for.
How your CV is protected
CVs submitted through our careers page are encrypted before they are stored on our server and can only be opened by an authorised member of our team, in some cases behind an additional password set for that specific role. We keep an internal record of who accesses a CV and when.
Who sees your information
Your application is visible only to the staff involved in reviewing applications for the role you applied to. It is never sold, and never shared with any other company for their own marketing or recruitment purposes.
Service providers we use
We use email delivery services to send you and our own team notifications about your application. These providers process your information only on our instructions, only to deliver that email, and are not permitted to use it for any purpose of their own.
Whether your information leaves Zambia
Some of the service providers described above may process or route data through servers located outside Zambia. Where this applies, we take reasonable steps to use providers with appropriate safeguards in place. If you would like more detail on this before applying, contact us using the details below.
Automated decision making
We do not use any automated system to accept or reject applications. Every application is reviewed by a person.
How long we keep your application
We keep unsuccessful applications for 12 months from the date you applied, after which they are deleted automatically, your CV included. If you tick the box asking us to keep your CV on file for future roles, we keep it for 24 months instead. Both periods are configurable by us and may be updated from time to time; the current periods are also stated on the Careers page itself.
Your rights
Under the Data Protection Act, 2021, you have the right to ask us what information we hold about you, correct it if it is wrong, delete it, restrict how we use it, object to our use of it, and withdraw any consent you have given us at any time. Withdrawing consent does not affect an application already under review, and does not affect anything we did with your information before you withdrew consent. You also have the right to complain to the Data Protection Commissioner if you believe we have not handled your information properly.
Changes to this notice
We may update this notice from time to time, for example if our retention periods or service providers change. The date at the top of this page shows when it was last updated.
